How to approve I-9 section 2 for new hires


Follow These Steps to Approve I-9 Section 2 for New Hires:

After the new hire has completed their portion of the From I-9 section 1 you the manager will receive an email to approve the employer portion, which is called the I-9 section 2. 
section 2. Please check your junk mail for email notifications. As well as add support@teamworksgroup.com to your contact list to avoid missing these emails.

1. Login to your Manager account in Prism and click on the “Approvals” icon in the top right of the screen; it's a blue Flag.

2. Click on the Employees name under the “Approvals Pending (Available to You)” section. This will open a window box with a button called "Grab". Select that button called Grab and it will assign the I-9 to you. 

3. This will move the employee I-9 section 2 approval up to "Approvals Pending (Assigned to You)".

4. Click on the I-9 Section 2 for employee needing approval. This will open a window box with steps to help you complete the I-9 section 2. 

5. The first step you will do is to first view the I-9 section 1 section that was filled out by the employee and make sure it is correct. If it doesn't show correct information for the employee you are approving don't continue with the steps and contact Teamworks Group for help. If the information does show correctly for that employee, push the green Next button to move on to the next step.

6. This next page will be where you complete the first supporting document questions. Fill out all the boxes with the correct information and then push the green Next button to move on to the next step. 
      - If the employee uploaded a picture of the supporting document when they filled out there I-9 section 1 then it will upload a picture of that document to easily fill out the questions below.
      - If the employee DID NOT uploaded a picture of the supporting document when they filled out there I-9 section 1, that is okay. Just contact your employee and ask for the supporting document so you can fill out the questions below.
**DO NOT put made up document numbers in the questions below or we can not accept that employees I-9 for payroll. 

7. This next page will be where you complete the second supporting document questions if it is needed. Else it will take you on to the next step automatically. Fill out all the boxes with the correct information for the second supporting document and then push the green Next button to move on to the next step. 
      - If the employee uploaded a picture of the supporting document when they filled out there I-9 section 1 then it will upload a picture of that document to easily fill out the questions below.
      - If the employee DID NOT uploaded a picture of the supporting document when they filled out there I-9 section 1, that is okay. Just contact your employee and ask for the supporting document so you can fill out the questions below.

**DO NOT put made up document numbers in the questions below or we can not accept that employees I-9 for payroll. 

8. The next page is available if you would like to add any additional information. Not necessary to move on, but you can. You can add any details wanted into the box or skip it. You will then push the green Next button to move on to the next step. 

9. The next step will be where you will input your information into the boxes to identify yourself (the person who completed the form) and sign that you examined the documents and inputted the correct information for this form. Once all the boxes have been completed you will then push the green Next button to move on to the next step. 

10. The next step will ask if you would like to download the forms to your computer for your access. You are more then welcome to download these forms for your reference, but it isn't necessary. All documents are saved and available for you access under the employee's employee record documents. For steps to see those documents look up the knowledge base article called "How to view employee's saved documents". Once you are ready to move on to the next step push the green Next button at the bottom of the window box.
