Follow These Steps to Change a Pay Rate:
There are a few ways to get to the "Pay Rate Change" option in PrismHR. First, you can do a search (magnifying glass at the top of your screen) for "Pay Rate Change". Second option would be to click on "HR" at the top of your screen and under the HR | Action section you'll also find the option for "Pay Rate Change". Lastly, you can go to the employee detail screen for a particular employee, click on the "Pay" tab, and on the right side of the screen you'll click on "Pay Rate Change".
To change the pay rate:
1. Click on Employee and select the employee you'd like to update. (If you chose the employee detail option for a particular employee, it will default to that employee).
2. Enter the new pay rate. For hourly employee's, enter their new hourly rate, for salaried employees, it is recommended to enter their annual salary. You can, however, enter their per pay period as well.
3. After entering the pay rate, select the appropriate "per" option. For hourly employee's, enter per hour. For salaried employee's, if you entered their annual salary, select per year. If you used the per pay period option for a salaried employee, please be sure you are selecting the appropriate option (per week if your pay cycle is weekly, per bi-weekly if your pay cycle is bi-weekly, per month if your pay cycle is monthly, per semi-monthly if your pay cycle is semi-monthly).
4. Enter standard hours - for hourly, enter zero. For salaried, enter one of the following based on your pay cycle:
For weekly, enter 40.
For bi-weekly, enter 80.
For semi-monthly, enter 86.67.
For monthly, enter 173.33.
5. For salaried employees only, check the "Auto Pay Time Card" box.
6. Enter New Auto Time Card Hours - whatever was entered in "New Standard Hours" should be entered here.
7. Enter the effective date - *IMPORTANT* enter the date of the first date of the pay period you wish it to be effective for. If the effective date needs to be mid pay period, please email your Teamworks payroll rep to notify them of a mid pay cycle change as manual calculations will need to be done.
8. Enter the reason for the pay rate change.
